Note: These instructions answer most frequently asked questions.

Instructions –

Steps:

  1. This training is designed to show you how to enter your termly result records.
  2. To reduce labor and eradicate errors, all that is required for the teachers and their site admins is to input only the CA/EXAM Scores, the Affective Values and the Psychomotor Values then system will process everything and produce the termly results and the annual results automatically for the pupil/student to view through his/her dashboard. You are to enter results for 1st, 2nd and 3rd terms.
  3. To save cost of network data, the result input process will be done offline through the Microsoft excel sheets for each class. This only requires basic Knowledge of Microsoft excel.
  4. Only registered and accepted students/pupils in your school will appear on the Microsoft Excel Workbook that is auto-generated for your school when you download it. So pupils/students must be accepted to appear in your workbook.
  5. In the process of the result input, the site admin downloads the auto-generated Microsoft Excel Workbook for CA/EXAMs, AFFECTIVE and PSYCHOMOTOR after accepting all registered students/pupils in that school.
  6. After downloading the Microsoft Excel Workbook, only scores and values are to be entered, any attempt to enter a child’s name or serial number by yourself through the Microsoft Excel Sheet will render it invalid.

RESULT INPUT FOR CA/EXAMS.

Instructions –

The Microsoft Excel Workbook is designed such that each sheet on the school’s workbook represents and contains a Class and all its Arms.

So After downloading the Microsoft Excel Workbook the site admin is expected to move each sheet on the workbook to a separate file and give to the appropriate Class through the class HOD for records to be entered for all arms of that class and after that it is returned to the school site admin to put back the sheet in its place on the workbook for upload.

The HODs of each class like Primary (1,2,3 or 5) is expected to appoint one teacher within his class who is computer proficient to enter result values for all the arms (from may be A-Z) of that class.

After scores are inputted on the excel sheet by the various classes and checked to be error free, it is then sent back to the school’s site admin to upload online. (But no site admin should upload results until he receives a directive to do so.)

Don’t wait for every child in your school to be registered and accepted before you download the excel workbook to start result entry, that may delay other students/pupils from checking their results.

If after results are entered on the workbook, you have newly registered students/pupils. Don’t worry, just accept all of them and download another workbook. On the newly downloaded workbook, The classes should enter scores for only the newly registered and accepted students/pupils that did not appear on the first workbook and leave the rest empty and submit to the site admin for upload. The server understands. All those students/pupils will get their results without problems

Step 1: CREATING STORAGE LOCATIONS –

  1. This is very important to keep your work very organized.
  2. On your computer or mobile PCs, you need to create two folders for every term in the session and name them accordingly. The first folder is for the school result for that term while the second folder is for the results coming from the different classes of your school for that term.
  3. For example, if my school name is LEA JABI, To start result entry for first term, I should create two new folders for first term and name them as follows - (1) LEAJABI-1stterm-2019session-schoolresult , (2) – LEAJABI-1stterm-2019session-classresults.
  4. So, for convenient and scalable storage, every school admin should have one main folder called RESULTS. Inside the folder called RESULTS, there should be a folder for every session like, e.g.: LEAJABI-2019SESSION. Inside the folder for each session you should have a folder for every term like, e.g.: LEAJABI-2019-1st Term. Inside the folder for every term you should have the two folders as I earlier stated for your transactions for that term. These are the two folders - (1)LEAJABI-1stterm-2019session-schoolresult , (2) LEAJABI-1stterm-2019session-classresults.
  5. Let’s go into the platform.

Step 2: PORTAL HOMEPAGE

  1. On the home page, scroll down to see the privileged access link and click on School Login.

Step 3: ACCESS

  1. Enter your correct school login email and password as shown below to access your school dashboard.

Step 4: DOWNLOAD

  1. Click on the CA/Exam sheet to download the excel workbook for your school.
  2. The CA/Exam sheet is entered for all subjects for each term while the Affective and Psychomotor sheets are entered just once every term.
  3. So, it is after uploading all CA/Exam sheets for every pupil then you upload their Affective and Psychomotor records.

Step 5: WORKBOOK DESCRIPTION

  1. The picture below shows what a typical auto-generated Microsoft Excel Workbook looks like
  2. You can see the different sheets representing the different classes from Nursery 1 to Primary 6.
  3. The pupils here are only those who are registered and accepted into the class arms as shown.
  4. In each sheet, the arms are arranged in alphabetical order - Like Pri5A before Pri5B.
  5. The default name for every downloaded CA/Exam workbook as you can see starts with something like - “schoolexamandcasheet” and it has some extra numeric digits. But you have to re-save it to a new name. You have to duplicate this workbook to as many subjects you offer in your school. During the upload, it will be one for each subject

Step 6: CREATING AND SAVING FILES FOR DIFFERENT SUBJECTS AND CLASSES

  1. This is very important to keep your work very organized.
  2. It is expected that you have created a folder for this session and the three different folders for the 1st, 2nd and 3rd Terms. Inside the folder for any term, you want to work on, create two folders – e.g.:
    LEAJABI-1st Term-2023session-schoolresult,
    LEAJABI-1stterm-2023session-classresults
  3. On the previous page you can see that school workbook came with the default name – schoolexamandcasheet1328. Re-Save it in the folder – LEAJABI-1st Term-2023session-schoolresult
  4. Save the file to as many subjects as are offered in that school because the upload will be done according to the subjects. Here is how to save the file according to subjects so you don’t mix it up easily.
  5. When you do a SAVE AS of the original workbook excel file you downloaded, you save the names like this for each subject – e.g.: LEAJABI-1st Term-2023session-schoolresult-MATHEMATICS, LEAJABI-1st Term-2023session-schoolresult-WRITING, etc
  6. Create a new Microsoft Excel Workbook file for every class in the school such that every class will have a file for each subject offered by that class. Save them in this manner for flexibility,
    eg.: LEAJABI-PRI3-1st Term-2023session-schoolresult-MATHEMATICS, LEAJABI-PRI3-1st Term-2019session-schoolresult-WRITING,
    After creating all these files for the different classes, store them all in the second folder you created for the term to be used by the classes for input - LEA-JABI-1stterm-2023session-class-results.

Step 7: DISTRIBUTING FILES TO THE CLASSES AND RECEIVING BACK FILES

  1. This is very important to keep your work very organized.
  2. Open the first folder for the school for the term, I mean this : LEAJABI-1st Term-2023session-schoolresult; where you stored the downloaded school workbook for every subject.
  3. When the folder is open, click to open any file in the folder according to their subjects,
    e.g.: LEAJABI-1st Term-2023session-schoolresult-MATHEMATICS;
    when you open it you will see something like the image I have below. It opens the first sheet by default but I opened the PRI5 Sheet. When you right-click on primary five you will see the dialogue box that popped up.
  4. Move each of these sheets to the file you created for each class according to corresponding subjects. So based on the subject file I opened and the class sheet I opened in the workbook below, I’m moving that primary5 sheet to the file : LEAJABI-PRI5-1st Term-2023session-schoolresult-MATHEMATICS.
  5. Then you send the destination file (LEAJABI-PRI5-1st Term-2023session-schoolresult-MATHEMATICS) to primary 5 to enter their MATHEMATICS score

INPUT OF AFFECTIVE AND PSYCHOMOTOR SKILLS.

Instructions A– STEPS 1

  1. The Affective and Psychomotor skills scores are entered once in a term.
  2. Note: The Psychomotor and Affective Skills are entered as rating from 1 to 5 depending on how each trait is observed in the student/pupil. Any value above 5 will not be accepted. Below is an explanation of the ratings from1 to 5
    5: Maintains an excellent degree of observable traits
    4; Maintains high level of observable traits
    3; Acceptable level of observable traits
    2; Shows Minimal regard for observable traits
    1; Has no regard for the observable traits.
  3. The result upload must be done as a workbook the way it was downloaded but with the contents filled. So, when you detach the sheets from the workbook to give to the various classes to fill, as they return it you have to put the sheets back in the right position on the workbook to get it ready for upload
  4. The psychomotor and affective skills are entered after the CA/EXAM records are entered for all subjects.

  1. Click on the AFFECTIVE and PSYCHOMOTOR link to download the two sheets.
